Associate, Operations

 

Responsibilities

The Operations Associate is responsible for designing, planning, implementing, and managing operations and administrative processes for Aperio’s senior team. The Associate is the day-to-day partner of the Director of Operations & Analytics in building out the internal capacity and resources for the Aperio team. In addition, the Associate will provide direct administrative support to the strategic work of other senior team members: President & Founder and two Senior Directors. The Associate plays an essential role in Aperio’s business development by managing all Aperio events and leading database and CRM enhancements.

Senior team support (40%)

  • Completes a variety of administrative responsibilities including: managing calendars, completing expense reports, composing and preparing correspondence, communicating within and outside the organization, arranging travel plans, and preparing meeting agendas and materials, and compiling and analyzing information.

  • Assist with the development and preparation of presentations and reports, including content for presentations, speeches, and internal and external meetings.

  • Researches, analyzes, prioritizes, and follows up on current issues, including those of a sensitive or confidential nature.

  • Serves as the primary point of contact for internal and external constituencies on a variety of matters.

  • Ensures that the staff is provided with timely, accurate information and documentation for meetings and presentations.

  • Prepares communications, emails, letters, and memoranda as needed.

  • Facilitates and coordinates meetings including location, catering, and audio/video requirements.

  • Maintains a working knowledge of the Aperio vision.

  • Performs other related duties as assigned.

Business development (20%)

  • Maintain the annual calendar of Aperio events, including trainings, webinars, book clubs, and roundtables.

  • Project management all event preparation ensuring that all strategic, logistical, marketing, and technology components are managed efficiently and effectively.

  • Collaborate with the marketing team to drive event attendance and achieve attendance goals.

  • Create templates, tools, and lists for Aperio team members to support their roles before, during and after the event.

  • Project management strategic event follow-up.

  • Lead efforts to maintain complete and accurate CRM to meet all relationship building and marketing demands.

  • Design, build and automate dashboards and reports in CRM.

Operations & analytics (40%)

  • Creates processes for effective and efficient operation of the organization.

  • Collaborates with Director of Operations & Analytics to establish and manage organization expense budget.

  • Organizes onboarding schedules for new hire orientations.

  • Manages legal contracts for freelance consultants and clients.

  • Develop project plan and assists Director of Operations & Analytics with annual revenue and expense budgeting process

  • Maintain Aperio’s library of standard operating procedures and key business processes; lead internal process improvement initiatives

  • Undertakes special projects as assigned.

Qualifications

  • 3+ years of executive-level administrative experience supporting C-Level Executives

  • Proficient in Microsoft Office Excel, PowerPoint, Word, and Outlook, including advanced formatting and style capabilities

  • Sensitivity to confidential matters is required

  • Strong relationship management, interpersonal, and communication (written and oral) skills

  • Ability to work well with all levels of staff, management, vendor, etc.

  • Demonstrated ability to manage complex projects to successful outcomes

  • Self-starter with ability to complete tasks with minimal direction and supervision

  • Operationally minded, exceptional detail orientation, and consistent follow-through

  • Outstanding organizational skills and ability

  • Entrepreneurial style

  • Bachelor’s degree preferred

  • Ability to travel, as needed

The details

Location

This role combines remote work-from-home and on-site support requirements for events.

To facilitate work-from-home, Aperio provides essential technology equipment and:

  • A $250 home office set-up stipend at 90 days

  • A monthly mobile phone reimbursement of $75 per month

Compensation

Aperio is pleased to offer competitive compensation and benefits, as well as accelerated career development opportunities.

Base compensation for this role is $45,000 - $70,000 commensurate with experience in executive assistance and operations. Bonus and promotion opportunities available.
